BBE PTO MEETING MINUTES
Wednesday November 8, 2023
9.30 AM
In Attendance: Sierra Jefferson, Andrea Rhodes, Dominga Silva Hernandez, Sohini Tomar, Letty Gonzales, Felicia Bolden, Stacy Zwerneman, Azin Shaban Karah, Tara Phillips, Sierra Jefferson, Elizabeth Miceli, Munira Jiwani, Elaine Sia, Anne Tseng, Lilian Cruz
1.Sierra call to order 9.35am
2.Spirit shirts – 2nd order has arrived. Have distributed to all and we have extras on hand.
3.Fall Festival financials sheet – went over budget. Made profit of $11,350.10. Would like some ideas on what to do with those funds. Sierra will be forming FF committee for next years, and will start meeting in January. Next year we do need more parent volunteers. Could we ‘pay’ parents with tickets for next year. People with little ones can help set up and tear down when it doesn’t matter if the little ones are running around a bit. Pick up tickets a day before or else we will HAVE to send tickets home the day before. Volunteers can even just help with gathering auction items. Maybe wristbands for next year to save time on ticket stuff.
4.Treasurer notes: can only deposit $5K max per month so will see some Fall Festival deposits etc in Nov/Dec too. Stacy motion, Erin seconds – all in favor – motion approved.
5.Previous meeting minutes: Andrea motion, Tara seconds – all in favor - motion approved.
6.Calendar:
Champ bucks – glow party that will happen in Dec or Jan, teachers haven’t sent dates yet. Grades 2-5 can purchase through Champ Bucks.
Popcorn tickets, only through 4-5 grades.
Sunshine cart – Nov 15th.
Incentives for the kids, if your parent volunteers you get a raffle ticket, or champ bucks, you can win items such as ‘silly string the principal.
Pepperoni’s Spirit night is DEF the November 15th.
Holiday Shop: Mon 27th will be preview day, then it starts Tues – Friday.
Maybe asking teachers to email out to ask for volunteer help, might get a few more helpers.
7. Let’s make youtube videos about JA, MA and Champ Bucks, to help volunteers feel less intimated and more brave about showing up.
8. Tara asked about obtaining class parent emails – send out whats app or something similar link, the teacher cannot give that information out.
9. VIPS
Scan QR code link which sends you all the stuff. Sierra will maybe add the link to front office PTO window area. Help needed for Friday 11/17 Holiday Shop set up.
10. Committee Remarks:
Ways & Means – winter fundraiser, a bit of $$ made from the holiday shop $200-300 ish
Boosterthon Jan 18th is the main fundraiser.
Hospitality – staff lunch 12/13. Emily will need 2-3 volunteers to help set it up
Sponsorship - $4500, big increase from last year
Dominga – 1st place - 5th grade, 2nd place 1st grade, then 3rd place is 2nd grade. Dominga & Sierra will get together to create incentives to get other grades to catch up.
Spirit night – Kendra Scott coming up, will give 20% back for Christmas shopping.
Parties – meeting Thurs Nov 9th about winter parties, allergy free stuff. Letty says there will be more sugar, more fun, more in class activities. Maybe no pizza this time. Music, talking, laughing, fun. Stacy reminded that there needs to be a gluten free option.
JA update – still need volunteers. Azin wants to advertise for volunteers, newbies can sit in on a session so they know what its like. Sohin is doing a session, she will post on the facebook group to invite people to sit in and watch. Stacy wants to prioritize volunteer incentives as opposed to PTO membership volunteers. Elaine said maybe offering early access to things for volunteers, like fall festival and other special events. Maybe a Yearbook raffle?
MA update – only 3 teachers remaining who don’t have a helper
DADS – needs a few more dads to help out. Positive male role models around, just need a background check. Ask all the grandads, uncles, brothers and husbands in your life.
11. Principal remarks –
First a big thank you. The Fall Festival was a huge hit.
Monday we had 0 tardys, (usually it’s 60 per day) which is amazing
VTRE passed, so excited and very happy teachers.
It has been investigated and it was high/middle schoolers who trashed the playground, threw bricks around too. Please talk to your kids and neighbors about respecting BBE property.
12. Any new business –
Sierra wants ideas on how to spend the Fall Festival fundraising money.
Stacy – a shade cloth for the playground. Need to double check if that was approved last year. Zen room for kids – Mrs Scholl is working on that. A school garden. Nicole might remember a few more things from previous years. Incentive – parents can only have a vote or have your say if you’re a paid PTO member.
Stacy – field day, it has been changed now to earlier in the year. Will we do tshirts this year maybe? With some kind of memorial to Coach Arrerola on it? Munira will talk to Jamie about it who has a big spreadsheet with everything from last year.
