BBE PTO MEETING MINUTES - SEPTEMBER 14, 2022 9:30 AM 


Attendance: Stacy Zwerneman, Nicole Polit, Tara Phillips, Letty Gonzales, Kevin Sayre, Joe Veliz, Dominga Sawant, Liz Tellez, Sierra Jefferson, Stephanie Viado, Shannee Khan, Tayyaba Hussain, Ganesh Jeyakumar, Anne Tseng, Munira Jiwani, Shannon Fields

 

1. Call to Order: 9:33 am

2. Approval of PTO Bylaws: Last updated in 2013.  Motion to approve from Munira, Liz seconds. Motion passes – approved.

3. Voting Protocol/Official determination of Voting Quorum – 18 board members – need 10 to make a vote. Currently only 9 board members here. 10th board member arrived at 9:40.

4. General Housekeeping and School Etiquette – When you come to volunteer, you are coming to work – don’t go to your kids’ classrooms and talk with the teachers unannounced. Don’t chit chat in the hallways, etc.

5. Approval of May minutes - Shannee motioned, Kevin Seconds: approved

6. Treasurer and Financial Reports –July/August: collected $406.05, spent $1504.33. Stacy made the motion, Shannee second. Financial reports approved.

7. Upcoming Events:

·        9/16 – Spirit Shirt order forms due

·        9/19 – Papa John’s Spirit Night – order online for delivery or carry out- we get 20% purchases

·        9/22 – Early release @ 12:10pm – lunch is still offered in cafeteria, no recess per the district

·        9/23 – No School for students – work day for teachers

·        10/5 – Picture Day – Ms. Viado is going to double check on date

·        10/7 – Early Release @ 12:10pm – lunch is still offered, no recess per the district

·        10/10 – No School

·        10/12 – October PTO Meeting 6:45pm (after extended day goes home – probably in cafeteria – looking into having highschoolers come to babysit for service hours)

8. Principal’s Remarks

Turn it Gold this week – super hero today, Thursday is Dot Day, Friday is wearing Gold.   19th GT meeting with Ms. Caskey. DI parent meeting is being planned 5:00-5:45 9/26 – Ms. Blankenship continues to volunteer for this. Update on safety/security: revamped with big events- IDs is a must (had to turn away some grandparents bc no ID); Ms. Fields every week does a perimeter check of exterior doors – district/state mandate – different day and time every week; Starting on 15th, new from TEA, TEA will push out a 3rd party to 70% of all Texas Schools and they will check the perimeters and will also do an interior walk – teachers are to have their doors closed and locked at all times (unless doing something in the hallway), TEA will then send a rating to the district and determine if school is following secure/safety protocols.


Ms. Fields: District doing a reboot for PBIS: positive behavior and intervention supports. Make sure campus has school wide expectations: JUST BBE B=Respectful B= Responsible E=everywhere; Each grade level has a team member on the committee. Discipline behavior flow chart for what behaviors are to be handled in the classroom and which to send to office. Making sure teachers have set the expectations with the kids before we start champ bucks. Teachers will nominate students at lunch time to pick a prize in front of everyone from Ms. Field’s treasure box in the meantime. Discipline has been difficult since coming back from covid throughout the whole state. Wanting to instill positive behavior throughout the campus. Pre-K – 2nd grade is not allowed to have out of school suspension. Only in-school suspension. Principals have to get approval for suspension. Teachers are not to take away recess, can’t do silent lunch. This is why we are doing a reboot to reset expectations.

Vacancies: 1st and 2nd grade had long term sub. 1st grade now has a teacher from Drabek: Ms. Campbell– still looking for a 2nd grade teacher. Transfer window is very early, the specialist get put in place much later, that is where the vacancy came from – it happens so late so the transfer window is closed and harder to get the teachers we want. Uncertified teacher long term sub means they just haven’t taken their assessment to be fully certified – the assessments can only be taken at certain times. These teachers are fully capable just waiting on the formalities.

Parent ask about Fall Dance: Ms. Viado is thinking we could do it for the upper grades (3rd, 4th and 5th grades)

PTO approved guided reading books – Ms. Viado is very grateful for that! THANK YOU PTO

Something to think about: Ms. Viado wants to catch readers that are struggling early on; problem is there is only one of Ms. Early to help them – PTO could purchase an LLI kit program – 1st, 2nd grade teacher trained to help Ms. Early. Would be able to offer this program to more students. Will check if certified teacher parent volunteer can help with this. Upper grade teachers are having to be trained in phonics and such because students are not coming in to the upper grades on level.

Treasure box question from parent to Ms. Fields: always looking for donations for Treasure Box – suggested to ask parents for donations. Teachers can ask for donations, but principals can not ask for donations from parents. PTO can gather donations and give to principals. Oriental Trading is no longer allowed to be ordered from the campus, but PTO could. Last year the orders were always delayed.


9. Committee Reports

·        Program Development – upcoming spirit nights and dates Malhorie just had a baby so not here. Ramble creek – waiting on report on how we did. Oct 27 – Spring Creek BBQ – hoping to get confirmation early for teacher aprons and other contests to communicate sooner this time Nov 11 – Iron Cross Gymnastics PNO December – no spirit night because too busy Jan 18 – Raising Canes

·        Treasurer/FO – approve budget for 2022-2023 – everyone in attendance given a copy to look over; added PBIS incentives; money set aside for a Fall Dance and more for Teacher of the Year,

·        Ways & Means: fundraising plan for the year; looking into a fall fundraiser unless the school is doing one (school looking into Big Kahuna but will cancel if PTO moves forward with a fundraiser) Motion moved by Shannee, Munira 2nd. Approved.

·        Hospitality – already did welcome back breakfast; popcorn every Friday; next big thing will be winter lunch for staff

·        Membership – Membership update 138 families signed up so far; all of 4th grade teachers have paid dues. 1st-3rd-5th grade tied for second place with staff membership. 17% families signed up for PTO (Kindergarten in the lead 25%)

·        Sponsorship – sponsor update: we have 1 sponsor – Danielle is an employee at the school so she couldn’t be here, but she is working on sponsorships. Information is available on the website for levels on sponsorships. Yearbook sponsorships opportunities will be later in the year

10. New Business

Team leads have asked that the parties not be on the half days – Nicole confirmed they will not be on the half days.

Sugar Shindig is very fun. Our campus participates a lot; all teacher grants get funded from the auctions; cake auctions; Tickets are about $30-50. $500 for a whole table. October 21st fajita meal with band. Then you get to eat cake! Will post information on Facebook PTO page. Adult beverages, live band.

Will there be a matchbook competition? Has to be run by a staff member, so not sure about it – must go to district to ask about that. Book reading competition

LLI program – a parent would like to donate a kit knowing that there is a teacher ready to be trained!

Can we start masterpiece earlier this year – Ms. Viado says it is okay to start anytime.

BBE PTO MEETING MINUTES Wednesday April 10, 2023 6.00 PM In Attendance: Dr Bolden, Malhorie Fane, Azin Shabankareh, Andrea Rhodes, Erin Grace, Dominga Silva, Nicole Polit, Kevin Sayre, Sierra Jefferson, Lindsay Kulhanek 1.Sierra call to order 6.16pm 2.STEAM bus guest speaker: Ms Patience Edwards. 1 st thru 8 th grade. Can book a 1 time visit OR Steam package (4 or more steam focused visits) OR school celebration package (fall, winter, spring, summer) OR STAAR package OR Birthday package. $800 p/her min 2 hours. 2 buses, can book both buses for use at the same event. 1:6 staff to kid ratio. Can tailor specifically to SPED groups. 3. Treasure notes summary: We reviewed February notes then March. We reviewed March meeting minutes. Kevin motions to vote, Andrea seconds. All in favor. Space Cowboys Spirit night. Choir will need mikes, Sierra to confirm with Mr Horton what instruments and how many mikes and how many choir kids. Check in is at 5.30pm, game begins at 6.35pm. Overall Spirit Night earnings have come to $2,711.47. Final one in May will be @ Altitude Trampoline Park. Yearbook: orders due 4/19. So far sold 43 hardcopies, 34 soft copies and 9 e-books, approx. $300 profit so far. Need more outclass, Field Day, PK and KG photos. Nicole to get club pictures from the photography company and also make sure the payment link isn’t’ broken for love lines and shout outs. Need more 5 th grade baby pictures still. Membership: 1 new PTO membership, 1 new class party payment. JA: 1 st grade needed for Cammock-Zarate. 4 th grade needed for Hulsman, Shelton, Garcia, Stewart. Azin is not getting help or info from the teachers and now it is possibly too late. Azin to ask Erica Knight if she wants to do that first grade class. Masterpiece Art: unfortunately will not complete all classes. Class Parties: 89 students have paid for parties $12. Possibly do a class competition to obtain more? 7.Principal Remarks: CPAC – campus based decision making SEPAC meeting for sped parents to get info & planning and info about the district. Anyone received SPED services, not specifically ABC or SAILS class. 5/15 Zoom at 6pm, firsthand info for parents. 8.Mrs Kulhanek remarks: PBIS committee: 3 rd 9 weeks had a paint and sip celebration. A few parents wanted to know what the experiences were so to coach the kids how to spend the money. Teachers running Champ Bucks now, signing up and bringing it to kids during intervention time. 2-5 th grade Popcorn, Gamer truck 30 mins incl outdoor games 29 kids inside the truck, 24 outside games (at campus all day), April 30 th to pay their teacher. May 17 th is the day it will happen. Taking on feedback from previous experiences – and coming up with one more for next year. Parents make sure to be sending your kids with their champ bucks every day. 9.Sierra: Voting for the theme for next year 24-25. Survey/poll link has been posted and is going around to all families. 10.New Business: Azin- Saw on tiktok – Families to buy and donate a full cereal box to create a dominoes thing throughout the school hallway. Tie in with a food drive? Lunches of Love? Shared dreams? Brighter Bites, Second Mile? Let’s try to keep it in the district. Andrea - do we need a printout of our board member role ready? No, we will vote on the new board members at the last meeting. Malhorie – end of year awards ceremony dates? Currently posted on BBE calendar page. Sierra to change 2 nd /3 rd grade times on the website, they swapped. Dr Bolden – STEAM bus, would be great and amazing for 5 th graders. Full day for entire school to participate, based on incentive. Closing the gap b/w vocab and science, still need to gain. Maybe incorporate into the Carnival fall festival night. Can still be targeted to what the kids are working on, $1600 for a 2 hours bus. Would not expect PTO to cover the entire amount. Dr B has some $$ stashed, could contribute as well. Definitely open to all kinds of STEAM ideas, but needs to align with TEKS. Definitely needs to be someone in education - let’s all do some more research. Ms Dees does have a grant for the science lab. Partner with Walker Station to share the cost maybe? Currently running Saturday science camps – 1 Saturday a month, science scores jumped 29% to 63% 5 th graders and more. Dr B will reach out to schools to see what they have done. 11. February minutes – not enough board members so cannot vote. 3.Board positions are available for next year. Sierra passed around the bylaws to check the position descriptions. This is also on the PTO website available under Documents. 4. Calendar 3/20 – Report cards posted at 4.30pm Astronomy on Wheels night cancelled. 3/21 – World Down Syndrome Day, wear unique socks 3/25 – CPAC meeting 5pm 3/27 – Spirit Night @ Chuck E Cheese, 4-7pm. BBE will get $6 back from each ticket. Board will vote for covering tickets for choir and cheer teams via email. - Field Day: Parent volunteer lunch provided PTO providing lunch or snack for volunteers. Maybe just a big snack area. Mrs Scholl offered the Zen room as a lunch/break room. - Cyma – extended day room got chosen for fasting kids because it’s closer to restrooms and more toys. Emily - can we maybe contribute $50 towards fun toys for the fasting kids? Zamora is setting up huge arts and crafts station. Only one volunteer so far for that area. Hospitality - stagnant. Drinks Fun drinks station, a set time period for the teachers, every Wednesday or every STAAR day. Spring is the best time to throw support behind our teachers. Membership- Reward for classes with most memberships. Bubble party, popcorn party, popsicle party, glow party? Form can be sent home in Friday folder about this. Membership and class parties competition to run from 3/25-4/12 Mrs Scholl – 161 kids signed up only for membership. Can PTO have a schoology page? And on the BBE website can we have a PTO link? Munira – maybe use the Remind app? Sierra – is not thrilled with the Facebook site being the main focus of communication. Looking for other ideas on how best to communicate with the parents. Yasmin – some people don’t know what PTO membership is and what it does. Could the teachers add a slide in their presentation at open house or other times. How can we better communicate that to the rest of the parents who have no idea? Need to get in front of the kids a bit more and promote PTO via them, who will go home and tell their parents. Next year will have PBIS instead of Dojo… so maybe using that for wide messages is better. Possibly a parents survey maybe to find out what people are thinking about PTO? Field Day – information going out shortly 5.Committee Remarks: Ways and Means- profit $15,688. 63% registration. 38% percent donated or got a donation. 60% donors were NOT parents, amazing!! Option to cover donation fee which worked well, saved us $$. Next years date will be 1/31/25. Program Development (Malhorie) - $700 ish from Spring Creek BBQ. Membership - Dominga- no new membership updates. Talked about doing a challenge, competing class, maybe a class party for top class % of membership and paid for parties wins. Hayes, Consoli & Staples (3 sessions left) Maybe Azin can come in and help do a few remaining sessions. Masterpiece Art – Varghese left, she will email her class parents to ask for help. 6.Principal remarks: Delivered remotely - remind everyone about Books for Bingo and Open house, kids come in for this one. 7.New Business: Laminating Machine – school one is broken, need a new one. Limited on what kind they can purchase. If PTO purchases it we can research and pick from wherever and gift it to them. Could we consider doing this? $1,600. 27” laminator for posters etc. Free shipping, request tax exemption. Kevin: who will come in 3 years to service the machine? Nicole – this one has two year warranty. Can they extend to 5 year warranty? The school one chosen costs $3,500. District never services the laminator it’s the company. Who’s responsibility would it be? The school will budget for laminator service/repairs. Tara: - trying to make sure the custodians are checking the bathrooms, no paper in the PE bathrooms, not just a random one off problem. Kids holding on b/c they don’t want to use the dirty bathrooms - lunch time, only had 10 minutes in the end to eat by the time they sat down. Teacher started clean up like 10 minutes early. Lots of kids not finishing their lunches, harder for kids buying their lunch and the last ones waiting in line. -what do we have left in the PTO account if we buy the laminator? $63K approx. in checking account currently, still to pay field trips, parties, teacher appreciations…. Should have approximately $30K left after paying for them. We want to carry over a float. 8.Vote on laminator suggestion: Kevin motions, Munira seconds, all in favor, motion passes to for PTO to purchase new laminator. 9.Multicultural night – only 11 countries, need some more! Families will receive a passport this time, you’ll get a stamp/sticker to travel around and can draw your photo. 10.Andrea: Wants to help more informing parents Teacher appreciation in May ideas: Nacho average teacher, If you give a teacher a Cookie Nicole - Hospitality budget is stretched, about only $1,600 left, baked potato bar, maybe parents can provide some food and provide potluck? We need to check at what the school already has planned. Emily/Andrea to get together and ask what can be donated for teacher appreciation which is the first week in May. FBISD we do the second week in May cos of STAAR. 11.Nicole: approaching the end of the year…. who’s going to be returning to board and positions, can’t be in the same position for 2 years? -Kevin would like to continue DADS wants a red shirt year…… this year not count for DADS for him, since he missed a ton, so he can do DADS for the next 2 years. Malhorie will check where our section will be, 1 st base side or other. Sierra will check with Mr Horton and Ms Medrano to get a head count on choir and cheer kids. Mrs Kulhanek has met Olu from Cinnaholic on University Blvd who would like to do a Spirit night with us. Malhorie will follow up with him. Field Day: still a work in progress, we need sno-cone truck recommendations. And a fun type of show recommendation (not Bubbles show). Get your tshirts ordered before March 10 th . New Business: PTO voted on spending funds for the Zen room and it was approved, some items for Mrs Scholl have already started arriving. Officially start Feb 1 st . Will have to sign up to use it. PTO website calendar needs to be updated, opens up to Jan 2020 and need to click thru to find current info. Sierra/Nicole to look into fixing that. 9. VP Remarks: Thank you all so much! There is so much more going on in the school, especially now that Covid is over. Dr Bolden will send Boosterthon reminder tomorrow and would love us all at CPAC on Monday 22 nd at 5pm. Coffee with the Principal was a great time. One of the big things brought up was Schoology and helping parents so that we can be on the same page as the teachers. 10. Mrs Kulhanek – open house is on February 29 th and the literacy event Bingo for Books will be held at 4.30pm just prior to Open House (which starts at 5.30pm). 11.
