BBE PTO MEETING MINUTES - SEPTEMBER 14, 2022 9:30 AM
Attendance: Stacy Zwerneman, Nicole Polit, Tara Phillips, Letty Gonzales, Kevin Sayre, Joe Veliz, Dominga Sawant, Liz Tellez, Sierra Jefferson, Stephanie Viado, Shannee Khan, Tayyaba Hussain, Ganesh Jeyakumar, Anne Tseng, Munira Jiwani, Shannon Fields
1. Call to Order: 9:33 am
2. Approval of PTO Bylaws: Last updated in 2013. Motion to approve from Munira, Liz seconds. Motion passes – approved.
3. Voting Protocol/Official determination of Voting Quorum – 18 board members – need 10 to make a vote. Currently only 9 board members here. 10th board member arrived at 9:40.
4. General Housekeeping and School Etiquette – When you come to volunteer, you are coming to work – don’t go to your kids’ classrooms and talk with the teachers unannounced. Don’t chit chat in the hallways, etc.
5. Approval of May minutes - Shannee motioned, Kevin Seconds: approved
6. Treasurer and Financial Reports –July/August: collected $406.05, spent $1504.33. Stacy made the motion, Shannee second. Financial reports approved.
7. Upcoming Events:
· 9/16 – Spirit Shirt order forms due
· 9/19 – Papa John’s Spirit Night – order online for delivery or carry out- we get 20% purchases
· 9/22 – Early release @ 12:10pm – lunch is still offered in cafeteria, no recess per the district
· 9/23 – No School for students – work day for teachers
· 10/5 – Picture Day – Ms. Viado is going to double check on date
· 10/7 – Early Release @ 12:10pm – lunch is still offered, no recess per the district
· 10/10 – No School
· 10/12 – October PTO Meeting 6:45pm (after extended day goes home – probably in cafeteria – looking into having highschoolers come to babysit for service hours)
8. Principal’s Remarks
Turn it Gold this week – super hero today, Thursday is Dot Day, Friday is wearing Gold. 19th GT meeting with Ms. Caskey. DI parent meeting is being planned 5:00-5:45 9/26 – Ms. Blankenship continues to volunteer for this. Update on safety/security: revamped with big events- IDs is a must (had to turn away some grandparents bc no ID); Ms. Fields every week does a perimeter check of exterior doors – district/state mandate – different day and time every week; Starting on 15th, new from TEA, TEA will push out a 3rd party to 70% of all Texas Schools and they will check the perimeters and will also do an interior walk – teachers are to have their doors closed and locked at all times (unless doing something in the hallway), TEA will then send a rating to the district and determine if school is following secure/safety protocols.
Ms. Fields: District doing a reboot for PBIS: positive behavior and intervention supports. Make sure campus has school wide expectations: JUST BBE B=Respectful B= Responsible E=everywhere; Each grade level has a team member on the committee. Discipline behavior flow chart for what behaviors are to be handled in the classroom and which to send to office. Making sure teachers have set the expectations with the kids before we start champ bucks. Teachers will nominate students at lunch time to pick a prize in front of everyone from Ms. Field’s treasure box in the meantime. Discipline has been difficult since coming back from covid throughout the whole state. Wanting to instill positive behavior throughout the campus. Pre-K – 2nd grade is not allowed to have out of school suspension. Only in-school suspension. Principals have to get approval for suspension. Teachers are not to take away recess, can’t do silent lunch. This is why we are doing a reboot to reset expectations.
Vacancies: 1st and 2nd grade had long term sub. 1st grade now has a teacher from Drabek: Ms. Campbell– still looking for a 2nd grade teacher. Transfer window is very early, the specialist get put in place much later, that is where the vacancy came from – it happens so late so the transfer window is closed and harder to get the teachers we want. Uncertified teacher long term sub means they just haven’t taken their assessment to be fully certified – the assessments can only be taken at certain times. These teachers are fully capable just waiting on the formalities.
Parent ask about Fall Dance: Ms. Viado is thinking we could do it for the upper grades (3rd, 4th and 5th grades)
PTO approved guided reading books – Ms. Viado is very grateful for that! THANK YOU PTO
Something to think about: Ms. Viado wants to catch readers that are struggling early on; problem is there is only one of Ms. Early to help them – PTO could purchase an LLI kit program – 1st, 2nd grade teacher trained to help Ms. Early. Would be able to offer this program to more students. Will check if certified teacher parent volunteer can help with this. Upper grade teachers are having to be trained in phonics and such because students are not coming in to the upper grades on level.
Treasure box question from parent to Ms. Fields: always looking for donations for Treasure Box – suggested to ask parents for donations. Teachers can ask for donations, but principals can not ask for donations from parents. PTO can gather donations and give to principals. Oriental Trading is no longer allowed to be ordered from the campus, but PTO could. Last year the orders were always delayed.
9. Committee Reports
· Program Development – upcoming spirit nights and dates Malhorie just had a baby so not here. Ramble creek – waiting on report on how we did. Oct 27 – Spring Creek BBQ – hoping to get confirmation early for teacher aprons and other contests to communicate sooner this time Nov 11 – Iron Cross Gymnastics PNO December – no spirit night because too busy Jan 18 – Raising Canes
· Treasurer/FO – approve budget for 2022-2023 – everyone in attendance given a copy to look over; added PBIS incentives; money set aside for a Fall Dance and more for Teacher of the Year,
· Ways & Means: fundraising plan for the year; looking into a fall fundraiser unless the school is doing one (school looking into Big Kahuna but will cancel if PTO moves forward with a fundraiser) Motion moved by Shannee, Munira 2nd. Approved.
· Hospitality – already did welcome back breakfast; popcorn every Friday; next big thing will be winter lunch for staff
· Membership – Membership update 138 families signed up so far; all of 4th grade teachers have paid dues. 1st-3rd-5th grade tied for second place with staff membership. 17% families signed up for PTO (Kindergarten in the lead 25%)
· Sponsorship – sponsor update: we have 1 sponsor – Danielle is an employee at the school so she couldn’t be here, but she is working on sponsorships. Information is available on the website for levels on sponsorships. Yearbook sponsorships opportunities will be later in the year
10. New Business
Team leads have asked that the parties not be on the half days – Nicole confirmed they will not be on the half days.
Sugar Shindig is very fun. Our campus participates a lot; all teacher grants get funded from the auctions; cake auctions; Tickets are about $30-50. $500 for a whole table. October 21st fajita meal with band. Then you get to eat cake! Will post information on Facebook PTO page. Adult beverages, live band.
Will there be a matchbook competition? Has to be run by a staff member, so not sure about it – must go to district to ask about that. Book reading competition
LLI program – a parent would like to donate a kit knowing that there is a teacher ready to be trained!
Can we start masterpiece earlier this year – Ms. Viado says it is okay to start anytime.
