Board will vote for covering tickets for choir and cheer teams via email. - Field Day: Parent volunteer lunch provided PTO providing lunch or snack for volunteers. Maybe just a big snack area. Mrs Scholl offered the Zen room as a lunch/break room. - Cyma – extended day room got chosen for fasting kids because it’s closer to restrooms and more toys. Emily - can we maybe contribute $50 towards fun toys for the fasting kids? Zamora is setting up huge arts and crafts station. Only one volunteer so far for that area. Hospitality - stagnant. Drinks Fun drinks station, a set time period for the teachers, every Wednesday or every STAAR day. Spring is the best time to throw support behind our teachers. Membership- Reward for classes with most memberships. Bubble party, popcorn party, popsicle party, glow party? Form can be sent home in Friday folder about this. Membership and class parties competition to run from 3/25-4/12 Mrs Scholl – 161 kids signed up only for membership. Can PTO have a schoology page? And on the BBE website can we have a PTO link? Munira – maybe use the Remind app? Sierra – is not thrilled with the Facebook site being the main focus of communication. Looking for other ideas on how best to communicate with the parents. Yasmin – some people don’t know what PTO membership is and what it does. Could the teachers add a slide in their presentation at open house or other times. How can we better communicate that to the rest of the parents who have no idea? Need to get in front of the kids a bit more and promote PTO via them, who will go home and tell their parents. Next year will have PBIS instead of Dojo… so maybe using that for wide messages is better. Possibly a parents survey maybe to find out what people are thinking about PTO? Munira – Goody bag to educate about Eid, parent donated $ for the bags, teachers Eid lunch, Follows the lunar calendar Ramadan, so always check the dates. Yearbook - Mrs Scholl: hears that yearbook is hard, and hard to find people to work and help. Ambassadors could maybe help next year, they could photograph the events. Would like to donate a yearbook to a few struggling families who cannot afford one, especially for the 5 th graders., maybe 10 certificates? Mrs Scholl and Sierra to discuss options and get a number. 7. Principal remarks – 4/4/25 – Field Day next year. Will not clash with Ramadan this time. Still need a bad weather back up date. No referral month for April/May. Can we do a popsicle party. Growth celebration for certain classes who have been doing so well, a snack party outside. 8.Mrs Scholl set up 5 th grade mini camp science session on Friday morning. 9. New Business- Pho with Friends event received $1,000 check for the school. 10. Board positions of interest? Career day – need a few more parents for career day. Field Day – information going out shortly 5.Committee Remarks: Ways and Means- profit $15,688. 63% registration. 38% percent donated or got a donation. 60% donors were NOT parents, amazing!! Option to cover donation fee which worked well, saved us $$. Next years date will be 1/31/25. Program Development (Malhorie) - $700 ish from Spring Creek BBQ. The top 3 classes with most attendance win tshirt, keychain etc. 3/8 to present that award at assembly. Tonight is Crumbl spirit night. 4-7pm 15% of all sales. Please share on facebook today! Space cowboys game – 4/18 @ 6.35pm. Link to buy tickets going out soon. $6 kick back for us. First 50 tickets $18, then goes up after that. Field Day (Munira) – 3/10 last day to order shirts, will put another paper in Friday folder and check with Ms Zamora where tshirt ordering is up to. Jump rope show and bounce house are booked. Ms Zamora has some activities planned. Outdoor planned, back up date 4/10 th maybe in case of rain. Munira to call sno-cone truck to get actual quote. Sierra has worked out the stations so can use last years info and start sign up genius. Yearbook – cover contest, encourage students to submit! Music dress up days, spirit nights, all of it! Hospitality update – no one signed up for Popcorn for remainder of the year so let’s all sign up! Would like to do a drink bar, every Wed of April for the teachers, add to March sunshine cart to collect those items. Sign up sheet for sunshine cart for March. Priority is sodas and drinks. Membership - Dominga- no new membership updates. Talked about doing a challenge, competing class, maybe a class party for top class % of membership and paid for parties wins. Top primary // secondary. Letty – Sierra – Dominga get together to set that up. JA update – Azin not here. Hayes, Consoli & Staples (3 sessions left) Maybe Azin can come in and help do a few remaining sessions. Masterpiece Art – Varghese left, she will email her class parents to ask for help. 6.Principal remarks: Delivered remotely - remind everyone about Books for Bingo and Open house, kids come in for this one. 7.New Business: Laminating Machine – school one is broken, need a new one. Limited on what kind they can purchase. If PTO purchases it we can research and pick from wherever and gift it to them. Could we consider doing this? $1,600. 27” laminator for posters etc. Free shipping, request tax exemption. Kevin: who will come in 3 years to service the machine? Nicole – this one has two year warranty. Can they extend to 5 year warranty? The school one chosen costs $3,500. District never services the laminator it’s the company. Who’s responsibility would it be? The school will budget for laminator service/repairs. Tara: - trying to make sure the custodians are checking the bathrooms, no paper in the PE bathrooms, not just a random one off problem. Kids holding on b/c they don’t want to use the dirty bathrooms - lunch time, only had 10 minutes in the end to eat by the time they sat down. Teacher started clean up like 10 minutes early. Lots of kids not finishing their lunches, harder for kids buying their lunch and the last ones waiting in line. -what do we have left in the PTO account if we buy the laminator? $63K approx. in checking account currently, still to pay field trips, parties, teacher appreciations…. Should have approximately $30K left after paying for them. We want to carry over a float. 8.Vote on laminator suggestion: Kevin motions, Munira seconds, all in favor, motion passes to for PTO to purchase new laminator. 9.Multicultural night – only 11 countries, need some more! Families will receive a passport this time, you’ll get a stamp/sticker to travel around and can draw your photo. 10.Andrea: Wants to help more informing parents Teacher appreciation in May ideas: Nacho average teacher, If you give a teacher a Cookie Nicole - Hospitality budget is stretched, about only $1,600 left, baked potato bar, maybe parents can provide some food and provide potluck? We need to check at what the school already has planned. Emily/Andrea to get together and ask what can be donated for teacher appreciation which is the first week in May. FBISD we do the second week in May cos of STAAR. 11.Nicole: approaching the end of the year…. who’s going to be returning to board and positions, can’t be in the same position for 2 years? -Kevin would like to continue DADS wants a red shirt year…… this year not count for DADS for him, since he missed a ton, so he can do DADS for the next 2 years. Andrea mentioned that it is definitely helpful when the teachers email for direct help, rather than just a facebook post or a line in the weekly newsletter. 3. Mrs Kulhanek has met Olu from Cinnaholic on University Blvd who would like to do a Spirit night with us. Malhorie will follow up with him. Field Day: still a work in progress, we need sno-cone truck recommendations. And a fun type of show recommendation (not Bubbles show). Get your tshirts ordered before March 10 th . PTO website calendar needs to be updated, opens up to Jan 2020 and need to click thru to find current info. Sierra/Nicole to look into fixing that. 9. VP Remarks: Thank you all so much! There is so much more going on in the school, especially now that Covid is over. Dr Bolden will send Boosterthon reminder tomorrow and would love us all at CPAC on Monday 22 nd at 5pm. Coffee with the Principal was a great time. One of the big things brought up was Schoology and helping parents so that we can be on the same page as the teachers. 10. Mrs Kulhanek – open house is on February 29 th and the literacy event Bingo for Books will be held at 4.30pm just prior to Open House (which starts at 5.30pm). 11. BBE PTO MEETING MINUTES Wednesday December 13, 2023 9.30 AM In Attendance: Azin Shabankareh, Joe Veliz, Erin Grace, Nicole Polit, Sierra Jefferson, Dominga Silva Hernandez, Letty Gonzales, Dr Felicia Bolden, Priya Majmundar, Tara Phillips, Cyma Yousuf, Anne Tseng 1.Sierra call to order 9.40am 2.Candy grams sold 528 so far, profit of approximately $350. 3. Holiday parties will be from 10.30-11.15am. Primary grades will be eating in the cafeteria, all other grades eating in their pods. Parents can sign their kids out and leave early via the classroom teacher. Teachers are asking for additional donated items if you want to help. No goody bags allowed. Party volunteers need to report to the PLC room to pick up party supplies. 4. Friday dress up is holiday lights and bells. Early dismissal at 12.10pm. 5. Nicole: Holiday shop went very well, sold $10,590.98 worth of goods, take 10% and after tax the profit was $996.80. The only complaint was not quite enough parents volunteers so lets keep pushing for more help. 6. Treasurer notes: refer to the sheet. Summary for month end 30 Nov 2023. Collected $14,798.96 Paid $682.41 Reminder that when we deposit more than $5,000 we get charged $.30 per every $1. Cyma brought up Paypal fee query – can we set up as a non-profit. Nicole has tried to go back and set it up that way but Paypal is making it difficult. Not sure what we would save if we could switch it to a profit making fee processing structure. Nicole/Cyma/Sierra look into options to maybe save some money. 7. Not enough board members present to vote, so will email to approve November meeting minutes. 8. Nicole: query on the previous minutes re the Fall Festival profit. Stacy and Nicole both clarified this further in email and spreadsheet dated 12/20/23. Net profit from the festival was $11,706.18, and since we had already budgeted for $7,000 profit (that money has already been allocated to things like parties and field trips), we have extra profit over budgeted of $4,706.18. 9. Calendar items- 12/15 – holiday class parties 12/15 – early release at 12.10pm 12/15 – staff lunch sponsored by PTO 12/18 to 01/03 – winter break 01/04 – return to school 01/17 – January PTO meeting at 6PM 01/18 – Boosterthon starts 01/26 – Boosterthon run 01/tbd – Spirit night at Spring Creek BBQ 10. Volunteer opportunities- Please scan the QR code and check online PTO website for info on how you can help. 11. Committee remarks- Boosterthon information: it will be an obstacle course, 7-ish main obstacles, therefore going through 5 times works out to approximately 35 “laps”. Plan B for bad weather is a cafeteria glow run. Will start promoting it once we return from winter break, kicking off January 18 th . We want all students to have registered before then! We raise more money if more kids are registered early. Nicole suggested we could spend our Fall Festival extra profit on a tshirt or a water bottle for every student, free for them. plain tshirt $4,270.25 + tax green tshirt with logo 20oz bike water bottle with logo $1,100 + tax Hospitality: staff Friday lunch requires 2 volunteers to help set up Programs: absent Parties: holiday party update as per above (#3) JA update: 26 people have volunteer to teach across 22 classes. Still have 7 classes remaining who need help. Azin will work with the teacher leaders to promote it and send home flyers and post on Facebook for those interested to sit in on a session to observe and learn. Azin will encourage JA volunteers to post on Facebook too, for people to join and observe a session. Masterpiece Art: 2 classes remaining who require a volunteer. Emily to finish up editing the Reel and post it online after winter break, appealing to parents of those two remaining classes. DADS - absent 12. Anne Tseng: ideas on how to spend the extra profit and volunteering. Could a vending machine that takes Champ Bucks replace the current set up requiring parent volunteers? Can kids count their champ bucks out before shopping and write the amount on the bag to save time? Mrs Kulhanek is doing champ bucks differently starting January but will confirm with us what has been decided, possibly similar to the Sunshine cart. Dr Bolden: the teachers are talking about this too using PBIS. A system where students earn points within this system and can track it and figure out how they want to spend their points. Then student leaders and ambassadors could deliver the items. Anyone could give the students points. 13. New Business – none 14. Principal remarks- They are already thinking and talking about 2024 and testing season. Competitions for academic achievements, pizza party for the top class showing the most growth. Wants to host a skate party (1 primary, 1 3-5 th ) for top class achievement via Dreambox. Need to help promote student use of 1link apps at home. Will honor Ms Blankenship in February, for her teacher award. 15. Adjourn meeting at 10.10am
